HR & Office Assistant

With your ability to overcome logistical challenges, you will help to manage processes and implement change for the better. This will be a broad and varied role that will enable all HR activities to run efficiently and help us deliver our People Strategy.

You will have good research and evaluation skills and have the aptitude to apply common sense when tackling a range of challenges. You need to display confidence and share knowledge while being positive in your personal approach and when working as a team.

You will frequently be front of house and the first touchpoint for a range of important clients and as such are our Company Ambassador, and you will always be a friend to all, supporting clients and the teams at Luminous to achieve their very best.

Key responsibilities

• Supporting the HR Manager with co-ordinating key employee journey milestones – e.g. probation reviews, long-term service awards and birthday celebrations
• Screening CVs, helping schedule interviews and assisting with onboarding activities and inductions
• Contributing to People Projects helping with the roll-out of company-wide initiatives
• Conducting ad-hoc research when required in a timely manner, offering a balanced view backed by evidence
• Assisting in drafting and issuing employment contracts/letters
• Obtaining employment references for new starters and responding to reference requests
• Adding new starters and removing leavers from our HRIS system and other HR systems where required
• Assisting in the benefits administration
• Maintaining People Team communication on Hibob and MS Teams
• Helping the HR Manager to ensure that relevant starter documents have been collated and stored in employee files, and that all necessary Right to Work checks have been completed
• Checking accuracy of recorded People data
• Supporting the processing of payroll in the absence of the HR Manager
• Assisting with employee queries
• Ensuring the studio calendar is updated and always correct with any staff absences
• Editing the Luminous staff newsletter
• Ensuring the studio is always clean and tidy
• Organising and distributing post and couriers
• Organising lunch requests for meetings where needed
• Binding documents for the teams on request
• Event co-ordination – assisting with the organisation and set-up of events, contributing to ideas and always striving to improve
• Co-ordinating the weekly shop – replenishing stock and maintaining inventory of store cupboard essentials
• Logging and managing any contractor visits, reporting any issues to the HR Manager
• Ensuring studio stock supplies are replenished, i.e. toners/stationery
• Answering phone calls and relaying messages promptly
• Welcoming and looking after studio guests
• Making sure meeting rooms are set up appropriately and cleaned down promptly
